For Hospital IT & Security Teams

What VeloNote Is. What It Is Not. Where PHI Flows.

A concise technical overview for clinical applications directors, IT administrators, and security teams evaluating VeloNote for department or enterprise deployment.

What VeloNote Is

  • A standalone, web-based clinical documentation tool
  • Clinicians upload or paste patient records and select a clinical template
  • AI organizes the information into an editable consultation or follow-up note
  • The clinician reviews, edits, and transfers the completed note into the EMR

What VeloNote Is Not

  • Not an EMR replacement or EMR add-on module
  • Not an ambient scribe that records or transcribes patient conversations
  • Not a tool that automatically retrieves charts from your EMR database
  • Not a tool that automatically enters or signs clinical notes

Where PHI Flows

The clinician controls what information enters and leaves VeloNote. No automated EMR data retrieval or write-back.

1

Clinician Provides Records

The clinician uploads PDFs or pastes clinical information into a VeloNote session. No EMR connection is required.

2

AI Processes in Session

VeloNote organizes the information on HIPAA-eligible infrastructure with encryption in transit (TLS 1.2+) and at rest (AES-256).

3

Clinician Reviews and Edits

The generated draft is reviewed and corrected by the responsible clinician within the active session.

4

Clinician Transfers to EMR

The clinician copies the finalized content into the existing EMR. VeloNote does not write back automatically.

5

Session Data Deleted

Patient information is deleted when the user moves to the next patient, ends the session, or closes the browser. Backups do not contain PHI.

How VeloNote Interacts With Your EMR

VeloNote is a standalone, web-based tool. It does not connect to your EMR database, does not require a custom API, and does not need an integration project to perform its core functions.

Clinicians upload or paste patient information into VeloNote, generate and edit a clinical note, then transfer the completed content into their existing EMR manually. VeloNote does not automatically retrieve patient charts or automatically enter or sign notes.

This means VeloNote can be adopted by individual clinicians or departments without a full EMR integration cycle, though large health systems may still require vendor security review before deployment.

Why VeloNote Doesn't Duplicate Ambient Scribes

VeloNote and ambient AI scribes solve different problems and can work together in the same organization.

Works together?YesYes

VeloNote prepares the clinical history before the visit; the scribe documents what happens during the visit. They are complementary, not competing, technologies.
